Getting paid faster: a follow-up system that isn't awkward

Most late payments are administrative, not adversarial. A predictable chasing routine collects more money with less anxiety than occasional apologetic emails.

The uncomfortable part of freelancing is rarely the work. It is the fortnight after an invoice goes quiet, when you are deciding whether reminding someone makes you look desperate. It does not. In almost every case the invoice is sitting behind an approval nobody has clicked, and your email is the thing that unblocks it.

Fix the causes before you fix the chasing

Roughly speaking, invoices go late for four reasons. Three are yours to prevent.

  • It went to the wrong place. Send to the accounts payable address, copy your day contact. Ask for the correct address before the first invoice.
  • It is missing something. No purchase order number, wrong legal entity, no bank details. It gets set aside and nobody tells you.
  • It missed the payment run. Every organisation has a cut-off. Learn the date and invoice two days before it.
  • They genuinely cannot pay yet. Rarer than it feels, and the only one where the answer is a conversation rather than a reminder.

The schedule

Decide the timings once and apply them to every client without exception. Consistency is what makes it feel procedural rather than personal.

On the day you send

Attach the PDF, state the amount and the due date in the first line of the email, and ask for confirmation of receipt. That last request creates a reply you can point at later.

Three days before the due date

A short, friendly note: "Invoice 2026-014 for USD 1,200 is due on Friday — just checking it is queued." This arrives before anything is late, so it costs nothing socially, and it catches the approval that was never clicked.

The day after the due date

Factual, no apology, no annoyance. Restate the invoice number, amount and the date it was due, and re-attach the PDF so nobody has to search. Ask one direct question: has it been scheduled for payment, and if so for when?

One week overdue

Reply in the same thread and add your day-to-day contact if they are not already on it. Ask them to confirm who owns the approval internally. This is the message that most often produces the real answer.

Two weeks overdue

Move from email to a phone call, then summarise the call in writing. Mention the late fee if your contract has one, and give a specific date by which you expect payment or a payment plan.

Thirty days overdue

Pause further work, in writing and without drama. State the outstanding balance, the total across all unpaid invoices, and what happens next — formal demand, mediation, or a small claims process depending on your jurisdiction. Most disputes end here because at this point the client's finance team is finally involved.

Wording that works

  • Lead with the facts. Invoice number, amount, due date, in the first sentence.
  • Ask a closed question. "Can you confirm the payment date?" gets a reply; "just following up" does not.
  • Do not apologise for invoicing. "Sorry to chase" trains the reader to treat the deadline as soft.
  • Keep one thread per invoice. The history is the evidence, and it saves the reader from reconstructing context.

Make it easy to pay you

Every extra step between the approval and the transfer is a chance for the invoice to slip a cycle. Put full bank details on the invoice itself rather than in an email. Offer the method the client already uses — a bank transfer for a company, UPI for an Indian individual, a card link for a small overseas buyer. Use the invoice number as the payment reference so reconciliation is trivial on both sides.

Know your position at a glance

You cannot chase what you cannot see. Keep every invoice in one list with its status, amount paid and remaining balance, and check it on a fixed day each week. The invoice dashboard shows total revenue, paid, pending and overdue counts, and flags invoices whose due date has passed, so the weekly review takes about two minutes. Pair it with sensible payment terms and most of the chasing disappears on its own.
